Booking Terms & Conditions
The following Booking Terms and Conditions are for the traveler's protection and ours. By booking a
trip, the traveler agrees to comply with these terms. As these terms are subject to change without
prior notice, we encourage you to visit these Terms and Conditions prior to departure.
1. Deposits & Payments
To confirm your reservation, a non-refundable deposit of 20% of the total itinerary cost is required.
Please note that no reservation will be considered confirmed until the deposit is received, and
reservations cannot be held without it. The final payment is due at least 45 days before the departure
date. All payments should be made on the Tourradar website.
2. Cancellation Policy
If you or any party member decides to cancel your confirmed arrangements or any services outlined in
the itinerary, you must notify Aarya Village Travel Pvt. Ltd. in writing through the Tourradar
platform.
Cancellations are effective on the day they are received. Therefore, recorded delivery is strongly
recommended.
Cancellation charges will be as follows:
46 days or more: – 20% of the total cost
45 days to 30 days: – 50% of the total cost
30 days to 15 days: – 75% of the total cost
15 days or less – 100% of the total cost
You will always be given the option to reschedule for a future date, provided availability. Aarya
Village Travel Pvt. Ltd. will provide a confirmation for a future tour.
3. Crafting Fee
The Crafting Fee is a $100 USD non-refundable fee requested by Aarya Village Travel Pvt. Ltd.
when the Local Expert determines that it is necessary to craft a customized itinerary. Please note that
this fee is not an additional cost on top of the total trip cost.
4. Complaints
In the event that you have a complaint regarding your travel arrangements, it is crucial that you
promptly inform us or our representative. By reporting any issues on the spot, both our supplier and
we will have the opportunity to address and rectify the situation, ensuring that appropriate measures
can be taken to make things right. Please be aware that failure to report a complaint on the spot may
impact your ability to claim compensation for any inconveniences or concerns.
If, for any reason, your complaint cannot be resolved during the trip, please notify us in writing within
10 days of the conclusion of your tour. This will allow us to thoroughly investigate the matter and take
any necessary actions to address your concerns. We value your feedback and strive to ensure that
every traveler has a positive experience, and your timely communication plays a crucial role in
achieving this goal.
5. Travel Insurance
To safeguard your travel experience, we strongly advise purchasing personal travel insurance that
provides comprehensive coverage for the entire duration of the tour. This should include protection for
medical expenses, injury, death, repatriation, trip cancellation, and curtailment. It is recommended to
ensure that your insurance coverage is adequate and appropriate, encompassing medical
emergencies and repatriation.

If you choose to arrange your own insurance, please carefully review the policy to ensure no
exclusion clauses limit or exclude coverage for the specific activities included in your trip. It is your
responsibility to ensure that the purchased travel insurance meets your specific requirements. If
necessary, we recommend arranging supplementary insurance to provide additional coverage.
6. Liability:
Aarya Village Travel Pvt. Ltd. assumes no liability for the loss, theft, or damage to travelers'
baggage or personal belongings while participating in a tour. The travelers are responsible for
ensuring that their personal belongings are secured in public areas, transportation, or elsewhere.
Travelers are solely responsible for the safety and security of their belongings throughout the tour.
Aarya Village Travel Pvt. Ltd. cannot be held accountable for the loss or damage of valuables or
other items left in or on facilities used by Aarya Village Travel, including hotels, vessels, expedition
vehicles, or any other mode of transportation. Travelers are advised to carry proof of insurance and
should be able to present it upon reasonable request by Aarya Village Travel Pvt. Ltd. employees or
suppliers.
While it is highly recommended, the traveler is not obligated to purchase travel insurance to travel with
Aarya Village Travel. However, it is important to note that if the traveler chooses not to obtain travel
insurance, they will not be entitled to any reimbursements from Aarya Village Travel Pvt. Ltd. for
interruptions, delays, cancellations, medical emergencies, or any other travel-related issues that may
occur during the tour. Aarya Village Travel Pvt. Ltd. assumes no responsibility or liability for any
loss, damage to personal belongings, injuries, or losses experienced during the duration of the tour.
7. Passports, Visas, and Vaccinations
While we are able to provide general advice regarding passports and visa requirements, it is your
responsibility to ensure that you possess a valid and acceptable passport, as well as any necessary
visas and vaccination certificates required for your entire journey. We can offer guidance on these
matters in good faith, but we cannot accept any responsibility for the accuracy or completeness of this
information. Additionally, any advice we provide concerning related items such as climate, clothing,
baggage, or personal gear is given without liability on our part.
Please note that we cannot be held liable if you are denied entry onto any mode of transportation due
to your failure to carry all the required documentation. Should your lack of necessary travel or other
documents result in fines, surcharges, or other financial penalties imposed on us, you will be
responsible for reimbursing us accordingly.
Before finalizing your trip booking, we strongly recommend visiting the official travel and tourism
website of Nepal / traveling country to obtain the most up-to-date information regarding visa and
entry requirements. It is essential to stay informed and ensure compliance with the regulations in
place to avoid any travel complications.
8. Medical Requirements
Good physical and mental health are essential for enjoying these active outdoor trips. All travelers are
expected to satisfy themselves prior to booking that they are fit and able to complete the itinerary of
their chosen tour as described in the itinerary. You may travel in rugged areas removed from modern
medical facilities. Good physical conditioning is recommended as preparation for all trips, especially
those involving trekking. By paying the deposit, the traveler certifies that they do not have any
physical or other condition of disability that would create a hazard for themselves or other
passengers, nor do they travel companions.
Any participant with a medical condition requiring regular treatment or which may be affected by
vigorous activity, high altitude, heat, cold, other natural phenomena, or particular foods must notify
Aarya Village Travel Pvt. Ltd. in writing before travel. Aarya Village Travel Pvt. Ltd. assumes no
liability for medical care. Participants may be required to furnish a doctor’s statement of good health.
The judgment of Aarya Village Travel Pvt. Ltd. shall determine an individual trip participant’s fitness
to embark upon or to continue a trip. You must also promptly advise us if any medical condition or
disability which may affect your active participation in your tour or the tour arrangements of any other
person develops after your booking has been confirmed. Once a trip has been confirmed, medical

circumstances will not be considered exceptions to our cancellation policy unless developed after
your booking. All participants must be covered by a current medical insurance policy applicable for
overseas travel for their trip. Proof of coverage may be required. Aarya Village Travel Pvt. Ltd.
reserves the right to require the traveler to produce a doctor’s certificate certifying that the traveler is
fit to participate in the tour.
9. Trip Participation and Client Responsibility:
By booking a trip with Aarya Village Travel Pvt. Ltd., you agree to abide by the decisions and
authority of our employees, Tour Leaders, guides, and drivers during the trip. If in their opinion or that
of any other authoritative figure (e.g., guest house/hotel manager or coach driver/escort), your
conduct, health, or level of fitness poses a risk to your well-being, the well-being of others, or the
smooth progression of the trip, you may be excluded from all or part of the trip without refund. In such
cases, we bear no further responsibility towards you, including any return travel arrangements,
expenses, or costs incurred due to the exclusion. In situations involving illness, we may assist in
making alternative arrangements and recovering your costs. Engaging in illegal activities or causing
damage will result in immediate exclusion from the trip, and we will no longer be responsible for your
well-being or any related expenses. No refunds will be provided for unused services.
As a client, you are responsible for any damage or loss caused by you or any member of your party.
You must make full payment directly to the accommodation owner, manager, supplier, or us for any
reasonably estimated or known damage or loss. If the actual cost exceeds the estimated amount, you
must pay the difference once determined. Conversely, we will refund the difference if the actual cost is
less than the estimated amount. You are also liable for any claims made against us and any costs
incurred by us, including legal expenses, resulting from your actions. We strongly recommend
obtaining appropriate travel insurance to protect yourself in such situations.
You acknowledge and accept the responsibility outlined above by confirming your booking with us.
10. Applicable Law
These General Terms & Conditions are governed by the country / place you travel.
11. Itinerary Changes by Aarya Village Travel Pvt. Ltd.
Although every effort is made to adhere to schedules and itineraries, Aarya Village Travel Pvt. Ltd.
reserves the right to alter routes or accommodations arrangements should conditions necessitate
prior to or while on tour. Such conditions may be brought about by impassable roads or closed
airfields due to rain, hotel overbookings, airline delays, schedule changes, or other unforeseen
challenges. Aarya Village Travel Pvt. Ltd. shall not be held responsible for such itinerary changes.
12. Cancellation & On-Trip Itinerary Changes by Traveler
If you wish to cancel or change an activity, hotel, transport, and/or any service booked by Aarya
Village Travel Pvt. Ltd., the operator will do its best to make that change according to availability.
While we strive to accommodate your request, we cannot guarantee refunds or waive change fees for
last-minute alterations. We ask that the traveler inform Aarya Village Travel Pvt. Ltd. as soon as
possible regarding any cancellations or changes to a service. This will allow Aarya Village Travel
Pvt. Ltd. to assess the feasibility of refunding or making the requested modifications.
Certain activities may have specific cancellation policies imposed by our third-party suppliers. Any
applicable charges or penalties will be communicated to you before confirming the cancellation or
change. We appreciate your understanding and cooperation in these situations, as we aim to provide
the best possible service while maintaining fair and reasonable policies.
Major changes to an itinerary, such as but not limited to adding full days of service, changing hotels
while on-trip, or changing transportation times and dates, will come at an additional cost for planning
and booking.
13. Entire Agreement
This contract supersedes any and all other agreements, either oral or in writing, between the parties
with respect to the subject of this contract. This contract contains all of the covenants and
arrangements between the parties with respect to the subject of this contract, and each party
acknowledges that no representation, inducements, promises, or agreements have been made by or

on behalf of any party except the covenants and agreements embodied in this contract. No
agreement, statement, or promise not contained in this contract shall be valid or binding between the
parties with respect to the subject of this contract.
14. Airfare, Ferries, and Delays
Airfares and boat schedules are subject to fluctuate without notice prior to ticketing. Aarya Village
Travel Pvt. Ltd. is not responsible for airline schedule or airfare changes, cancellations, overbooking,
or damage or loss of baggage and property.
Any and all claims for any loss, damage, or injury suffered on any airline must be made directly with
the airline involved. Air schedule changes may necessitate additional nights being added to your tour.
These schedule changes are beyond the control of Aarya Village Travel Pvt. Ltd. and any resulting
additional costs shall be the guest's sole responsibility. Aarya Village Travel Pvt. Ltd. shall not be
held liable for any delays or additional costs incurred due to airlines not running to schedule.
15. On-Trip Concierge and Emergency Support
During your trip to Nepal, Aarya Village Travel Pvt. Ltd. provides two valuable services through our
on-the-ground team. Firstly, our concierge service is available from 09:00 to 18:00 every day of the
week. The traveler may contact us for any questions or concerns you may have during your day-to-
day journey. The concierge service is here to assist you when the provided Roadbook needs to
address your queries. We strive to ensure your trip goes smoothly by offering help with restaurant
recommendations, meeting locations, guide or driver information, additional details about your day,
and more. You can also reach out to us to make changes to your itinerary. However, changes may be
subject to cancellation fees, particularly but not limited to if made within a week of the requested
change.
Secondly, Aarya Village Travel Pvt. Ltd. offers an emergency support service that operates 24/7 for
medical emergencies or life-threatening situations. In the event of such emergencies, the traveler can
contact Aarya Village Travel Pvt. Ltd. emergency hotline for immediate assistance and guidance.
16. Acceptance of Risk
By booking a trip with Aarya Village Travel, you acknowledge and accept the inherent risks
associated with adventure travel and visiting foreign destinations. You assume responsibility for your
own health and safety, releasing Aarya Village Travel from liability for any losses, damages, injuries,
or death resulting from these risks.
Understand that personal risk levels may vary based on activities and locations involved. Aarya
Village Travel does not provide information on local customs, safety concerns, or laws. Consider
potential risks, dangers, and your capabilities before participating.
Comply with all applicable laws and regulations. Illegal acts or disruptive behavior may lead to
immediate termination of travel arrangements at your expense. No refunds for unused services or
costs due to termination.
You are liable for any property damage caused during the trip, reporting pre-existing damage
promptly to the Tour Operator and accommodation staff. Use safety devices, follow posted signs and
warnings. The Tour Operator and its suppliers are not liable for loss or damages resulting from non-
compliance.
Inform the Tour Operator's representative during the trip for concerns or complaints. Submit written
complaints within 30 days after the trip.

17. Extra services booked by traveler with other agency or service provider
Extra services directly booked by the traveler with other agency or service provider, apart from Aarya
Village Travel; such as taxis, hotels, activities, or any other arrangements, are the sole responsibility
of the traveler to manage. In such case, while we at Aarya Village Travel Pvt. Ltd. are here to assist

and provide guidance, we do not assume any responsibility for the cancellations, changes, or any
issues that may arise with these bookings. The traveler is responsible for communicating with the
respective service providers directly, making necessary arrangements, and addressing any concerns

We want to emphasize that Aarya Village Travel Pvt. Ltd. cannot be held liable for any accidents,
injuries, or damages that may occur during the provision of extra services directly booked by the
traveler. Furthermore, while we strive to partner with reputable service providers, the traveler
assumes all risks associated with these services. It is essential for the traveler to understand and
adhere to the terms and conditions set forth by the service providers, including any safety guidelines
or precautions.
We encourage our travelers to carefully review and confirm their bookings, communicate directly with
such agency or service providers, and consider obtaining appropriate travel insurance to safeguard
against unforeseen circumstances or incidents related to their independently booked services. Our
team is available to provide information and assistance, but the ultimate responsibility for managing
and ensuring the satisfactory execution of these bookings lies with the traveler.
