Terms & Conditions
By booking a trip, you agree to be bound by the terms and conditions governing the relationship between the client and Italy on a Budget Tours & Authentic Italy Adventures, including the cancellation policy and limitations of liability. All individuals wishing to make a booking must carefully read and fully understand the following Terms and Conditions. By booking with the company or its agents, you accept, on behalf of yourself and all individuals named on the booking (including minors and persons with disabilities), to be bound by these Terms and Conditions.
The legal company name is Authentic Italy Adventures srl – Tour Operator – p.iva 07320680486. Our official trademarks are Italy on a Budget Tours, Authentic Italy Adventures, & Tuscany on Wheels. The program complies with the requirements of L.R.T. 16/94 (Tuscan Regional Law). The contract is governed by the provisions of law n° 1084 dated 27/12/77, as ratified and implemented with regard to travel contracts, as well as EEC directive 90/314.
Please note that trips under Authentic Italy Adventures are suitable for adults of all ages, while trips under the Italy on a Budget brand are designed for young people aged 18 to 39. In special circumstances, we may approve bookings outside this age range. We reserve the right to decline a booking request if we believe our trips are not suitable for you.
Bookings and Payments
Reservations must be made either online, directly through the tour operator, or through agencies both in Italy and abroad.
To secure your spot on any tour, full payment or a deposit (where applicable) is required.
Once the booking is successfully completed, the traveller will receive a confirmation along with the terms and conditions of the tour. Approximately two weeks before the tour departure, additional details will be provided, including the meeting point, time, accommodation information, and other relevant details. If the traveller does not receive an email from the Tour Operator, it is their responsibility to contact the operator and request that the information be resent.
The traveller is responsible for verifying the accuracy of the booking and the travel dates.
For bookings made well in advance, the Tour Operator recommends that travellers contact the agency a few weeks before the departure date to confirm no changes have been made to the meeting point or tour time and that the voucher information is still valid.
An online booking fee applies to all bookings made online, and this fee is non-refundable.
The Tour Operator is not responsible for any credit card transaction fees or conversion rates and will not refund or cover any third-party fees incurred during the payment process.
Issuance of Vouchers
The Tour Operator or booking agency will issue a voucher to the traveler, which must be shown to the tour guide at the beginning of the tour. Alternatively, an ID with the traveler’s name will be accepted, unless otherwise stated on the voucher. In such cases, the tour operator reserves the right to refuse customers without a printed ticket.
Tickets and all related documents will not be provided until full payment has been received.
Tours
Some of Italy on a Budget Tours & Authentic Italy Adventures experiences, where specified, require a minimum number of participants. If the minimum number is not met, the traveller will be notified via email no later than 2 weeks prior to the tour departure, and alternative dates, activities or cancellations will be arranged.
All services included in our tours are clearly advertised on our website or printed materials. There are no hidden costs.
Contracting Parties
The Tour Operator acts as a booking agent and contracts directly with coaches, boats, hostels, hotels, and other service providers. All bookings with carriers and service providers are subject to their own terms and conditions, as well as limitations of liability. It is important to note that some of these limitations exclude liability for death, personal injury, delay, and loss or damage to baggage.
The Tour Operator cannot accept responsibility for any loss resulting from actions or omissions of third parties.
Due to the nature of the services provided, The Tour Operator will not be held liable if any service departs or arrives later than the specified time, even if this results in missing a connecting service.
The Tour Operator cannot be held responsible for delays caused by mechanical failure or other issues outside of our control.
Passenger Responsibilities
It is the passenger's responsibility to meet the tour leader or the transportation provided by The Tour Operator at the correct time and location for departure. If a traveler misses a tour or planned departure, any additional travel costs incurred will be at the traveler’s expense.
Passengers who miss the departure time due to delays or cancellations of incoming transportation are not entitled to a refund. It is their responsibility to check in with the tour leader of The Tour Operator at least 15 minutes before the specified departure time.
The Tour Operator is not responsible for personal belongings. It is the traveler’s responsibility to look after their own items. The Tour Operator cannot be held liable for any loss, theft, or damage to personal belongings, regardless of the circumstances.
Booking Policy
A non-refundable deposit of 5% of the tour price is required at the time of booking covering tax, vat, gts, etc…
You may change your tour dates or switch to another tour operated by our company as many times as you wish, free of charge, up to 45 days before departure.
If your booking is made within 45 days of the scheduled departure date, full payment is required at the time of booking.
The remaining balance of the tour price must be paid no later than 45 days before the scheduled, nominated, or confirmed departure date. While we make every effort to send payment reminders, it is your responsibility to ensure full payment is made by the due date. Failure to do so will be considered a cancellation, and the applicable cancellation charges will apply.
Cancellation Policy
Our short breaks and holiday adventures include multiple services such as accommodation, transportation, guided tours, and assistance. As such, the cancellation terms for these tours differ from those of our day tours.
Cancellations must be submitted in writing to The Tour Operator at [email protected].
If you need to cancel for any reason, and we receive written confirmation from you or your authorized agent at least 45 days before your confirmed departure date, you will receive a full refund minus a non-refundable initial fee covering tax, vat, gts, etc.
If you wish to change your tour to one of higher value or a different seasonal rate, any price difference must be paid. Requests for date changes must be submitted in writing.
In the event of a tour cancellation by The Tour Operator, a full refund will be issued minus the non-refundable initial fee.
If you cancel within 45 days of departure, the following cancellation fees apply, based on the total tour fare:
44 – 21 days before departure: 30% of the tour fare
20 – 15 days before departure: 50% of the tour fare
14 – 0 days before departure: 100% of the tour fare
For online bookings, refunds will be processed directly to the original payment method. However, the online platform booking fee is non-refundable.
No refunds will be provided for unused portions of a ticket or partially completed trips.
For bookings made directly with The Tour Operator via bank transfer or credit card, an additional 3.5% processing fee will apply to the cancellation charges above.
Museums, Services, Add-Ons:
Reservations for museums, pre- and post-tour accommodations, transfers, and optional activities are non-refundable and non-transferable for any reason.
Weather, Environmental Conditions, and National Strikes
The Tour Operator cannot be held responsible for any delays, deviations, or cancellations caused by weather conditions, traffic, or national strikes, even if they result in missing a connecting service. These events are completely beyond the control of the Tour Operator.
No tour may be canceled or changed by you based on weather conditions unless the Tour Operator deems the weather an obstacle to the tour. In such cases, you will forfeit the cost of the tour with no refund.
The Tour Operator reserves the right to cancel tours (including bike tours, horseback riding, boat trips, Vespa tours, tuk-tuk tours, and any other outdoor activities) when weather conditions are deemed unsafe for the clients' safety. In such cases, the Tour Operator will suggest rescheduling the tour for another day or offer to transfer the booking to a different tour of equal value at no extra charge. Alternatively, the Tour Operator will issue a full refund in the form of a voucher for the paid activity, valid for 18 months, or provide a refund minus administration fees.
If a national strike is announced well in advance and affects the tour itinerary, the Tour Operator will inform clients by email, offering the option to reschedule the tour for a different date or provide a full refund, minus administration fees.
If a national strike is announced on the day of the tour but before the tour starts and affects the itinerary, the Tour Operator has the right to cancel the tour if alternative solutions cannot be provided. In such cases, the Tour Operator will suggest rescheduling the tour for another day or offer to transfer the booking to a different tour of equal value at no extra charge. Alternatively, the Tour Operator will issue a full refund in the form of a voucher for the paid activity, valid for 18 months, or provide a 50% refund of the tour value.
If the national strike is announced after the tour has already started, the Tour Operator will refund the unused portion of the tour, including travel fees, any unused meals, or compensation for the missed services.
In cases of operational reasons or matters not caused by the Tour Operator (e.g., road conditions, strikes, delays, changes in opening times, or other issues), the Tour Operator may modify the tour at any time or replace it with alternative services of the same type and quality. In such cases, there will be no change in the excursion price.
Force Majeure
A Force Majeure Event refers to any event or circumstance beyond the control of The Tour Operator, including but not limited to: (a) an act of God (such as earthquake, flood, fire, explosion, landslide, lightning, natural disasters, typhoon, hurricane, cyclone, tsunami, storm, or storm warnings); (b) industrial disputes, work bans, or other labor disputes; (c) acts of terrorism, political unrest, war or the threat of war, riots, or civil disturbances; (d) delays or failures in scheduled transportation and the closure of airports or ports; (e) pandemics, epidemics, or health risks; (f) governmental and administrative actions (including border closures, travel warnings, and restrictions), or other causes outside the control of Italy On A Budget Tours & Authentic Italy Adventures, which make it impractical or impossible for The Tour Operator to uphold the conditions, rights, and obligations set out in the terms and conditions, thereby falling under the "Force Majeure" category.
The customer agrees to receive a credit voucher for the amount spent or for the unused service, which can be used for future bookings. This voucher is transferable and can be redeemed for any service offered by The Tour Operator within one year from the issue date.
Price Modifications
In the event of a sudden increase in individual prices exceeding 10% (such as new taxes or duties), the excursion prices will be adjusted accordingly. Travellers, hotels, accommodations, and agencies selling our services will be notified in writing.
Special Offers & Discounts
Special offers and discounts can only be applied at the time of booking and cannot be added retroactively, even if changes are made to the original booking.
Discounts and special offers cannot be combined. If two or more offers are applicable, only the discount that provides the highest savings will be applied.
Discount codes and promo codes cannot be used on already discounted tours. If used, the traveller will be asked to pay the difference.
Insurance
The excursions included in the program are covered by public liability insurance (R.C. insurance) for risks, with indemnity limits as stated in Article 13 of L.R.T. 16/94, provided by ASSICURAZIONI ALLIANZ GLOBAL ASSISTANCE, policy number 78777680. The Tour Operator is not responsible for damages caused by third parties or for reasons beyond its control. The Tour Operator is also not liable for the loss or forgetting of valuable or non-valuable items, or luggage.
Please note that travel insurance is not included in the cost of any tour, package, ticket, or product.
The Tour Operator strongly recommends purchasing your own travel insurance to cover all aspects of your trip. We advise you to choose a comprehensive insurance policy that includes personal accident, medical expenses, trip interruption, personal baggage, money, public liability, evacuation, and repatriation coverage, including during pandemic events. The choice of insurer is entirely up to you. The Tour Operator cannot be held responsible for your failure to obtain suitable insurance, and we strongly suggest purchasing insurance at or shortly after booking your trip. The Tour Operator will not be liable for any costs incurred by the guest due to inadequate or lack of travel insurance.
Disputes
Any complaints must be submitted in writing to the Tour Operator at [email protected] within 10 days of the tour date. Complaints or disputes that cannot be resolved amicably between the client and the Tour Operator will be referred to the Court of Florence.
Photographs and Films
By booking any of The Tour Operator’s tours, you agree that photographs and films may be taken of you during your participation in the tour. You also consent to the use of these images by the tour operator for marketing purposes, including in brochures, websites, print media, and promotional videos, solely to promote The Tour Operator’s products. All content on our printed materials and website is protected by copyright. It is therefore prohibited to copy, in part or in full, any texts, images, colors, or tour titles used by the tour operator. Our brands—Italy on a Budget Tours, Authentic Italy Adventures, and Tuscany on Wheels—and their logos are officially registered in Italy. The graphic layout, texts, images, and colors are also protected and cannot be copied in any form.
